Picture the scene: you have just finished an air-conditioning job, or you have just cut a client's hair. The customer wants to pay, so you take out your phone. They tap their card against it, the payment goes through, and the money is on its way. Everyone is happy, right? Well, almost. Where is the receipt?
Many merchants think phone-based card acceptance covers the whole compliance job. This is where NAV draws the line, especially now that the new receipt data reporting rules took effect on 1 September 2026. The question is no longer whether you need to issue a receipt. Of course you do. The real question is how to do it with the least stress and extra admin.
From 1 September, NAV extended receipt data reporting to manually issued and computer-generated receipts as well. This does not mean every merchant suddenly has to issue e-receipts in every situation. It means the receipt data has to reach the tax authority digitally. The good news is that the transition period runs until 31 December 2026, when auditors are meant to help businesses prepare rather than punish them. From 1 January 2027, however, that grace period is over.
A quick note: at POSnavigator, we know the payments market and the technology side very well. If you have a special VAT or tax question, your accountant is still the right person to ask. What we can see very clearly is which payment and receipt workflows make the new expectations easier to meet in day-to-day business.
Let's get the most important point out of the way: your payment app will not issue the tax receipt for you. This is the biggest misunderstanding we see around phone-based acceptance. SoftPOS is a brilliant technology: it turns your own smartphone into a card acceptance terminal. But the payment confirmation produced by that app is not the same thing as a fiscal receipt. The fact that the bank has collected the money from the customer does not mean NAV has received the receipt data. If you only use SoftPOS, receipt issuance remains a separate, often annoying task.
Here are the main routes if you want to stay compliant without drowning in admin.
If you really issue only a few receipts a month, it may work to enter the data manually on NAV's online interface. But honestly, you will probably get tired of it quickly. It also creates a built-in risk of typos and missed entries.
Many merchants start here, but at POSnavigator we see how frustrating duplicate entry can become. If you issue three or four receipts a day, maybe it is still manageable. Now imagine the same workflow at a market stall or in a busy salon: you type the amount into the payment app, the customer pays, then you open another app and type the whole thing again for the receipt. That is exactly where mistakes and extra stress appear.
With this route, receipt issuance and data reporting work together. The key thing to remember is that a phone-based e-cash-register app does not automatically accept cards. For card payments, you still need integration, a separate terminal or another payment acceptance solution.
If you run a fixed store, cafe or bakery, mobile convenience may not be the most important factor. Stable operation, reliable internet and a robust printer may matter more. Do not throw away a proven setup just because a new app has appeared.
For mobile service providers and small businesses, this is often the most practical option. You start the payment in one app, the customer taps their card or phone against your phone, and the NAV-compatible e-receipt is created in the background. When you compare providers, make this your key question: does this solve both payment acceptance and NAV receipt data reporting in one workflow? In our upcoming article, we will also introduce the service providers offering this solution—stay tuned to POSnavigator!
This is especially relevant for merchants who have been dealing with paper receipts and do not want another bulky device on the counter, in the toolbox or in the car.
Mobile tradespeople such as HVAC technicians, electricians and drain-cleaning services: especially where everything needs to fit in a pocket or vehicle. One practical tip: because you may work in basements or places with poor signal, ask exactly how the chosen app handles weak connectivity, when the receipt is issued, and how it completes reporting if the connection drops.
Beauty professionals such as hairdressers, beauticians and nail technicians: in a clean, well-designed salon, it is genuinely elegant if the whole admin flow fits on a smartphone instead of adding another cable-heavy device to the counter.
Private tutors, trainers and consultants: minimal equipment, maximum compliance. It resolves payment issues, the administrative burden associated with issuing receipts and uploading data to the tax authority (NAV), the costs associated with cash handling, and so on.
Many people assume that e-receipts mean paper disappears completely. Unfortunately, it is not quite that simple. NAV says that the printer is a mandatory accessory for an e-cash register. Why? Because if the customer specifically asks for a paper copy of the e-receipt, you have to provide one. The good news is that this does not necessarily mean carrying a large desktop printer around. A small Bluetooth mobile printer that fits in a bag or can be clipped to a belt may be enough, and you only need it when the customer insists on paper.
Not exactly. The mandatory part is receipt data reporting. Traditional manual paper receipts can still exist, but their data also has to be reported to NAV, which can become a major manual burden. An e-receipt and e-cash-register workflow can automate that for you.
As noted above, NAV's transition period runs until 31 December 2026. From 1 January 2027, missing or incorrect receipt data reporting can lead to consequences.
Short answer: no. Longer answer: SoftPOS collects the payment, while the e-cash-register workflow handles the receipt data for NAV. Look for an integrated app, or make sure the two systems are properly connected.
Do not fall for big promises without checking the details. We know it is hard to compare the flood of provider offers now hitting the market. POSnavigator helps you compare real payment and receipt solutions by your business size, profile and needs, instead of forcing you to read every small-print document yourself.
In our upcoming article, we will also introduce the service providers offering an "all-in-one" solution—stay tuned to POSnavigator!
You do not have to spend hours searching Google. Check the SoftPOS comparison and find the setup that actually removes work from your shoulders instead of adding new tasks.
